# 1 Customers

### Overview  
  



The Customers module in WIRX OMS allows users to create and manage customer information, view customer lists, and access compliance data. The interface provides quick access to customer records, compliance reports, and tools for adding new customers.

# 1.1 Create Customer

The **Create Customer** feature in WIRX OMS allows users to add new customers to the system by entering their details through a guided, multi-step form. This process ensures that all relevant customer information is captured for operational, sales, and compliance purposes.

### **1.1.1 Steps to Create a Customer**

#### **Step 1 – Customer Details**

This section collects essential customer information:

- **Sales Person (Required)** – Assign a sales representative responsible for managing the customer.
- **Company Name (Required)** – Enter the legal name of the customer’s company.
- **Mobile Number (Required)** – Include the country code and phone number.
- **Email ID (Required)** – Provide a valid email address for correspondence.
- **Owner’s Name (Required)** – Record the name of the business owner.
- **Type (Required)** – Select the type/category of customer from the dropdown list.

**Action:** Click **Continue** to proceed to the next step.

#### **Step 2 – Billing Address**

This step captures billing-related contact and location information:

- **Contact Person (Required)** – Name of the billing contact.
- **Company (Required)** – Customer company name (can be same as above).
- **Mobile Number (Required)** – Contact’s phone number with country code.
- **Address Line 1 &amp; 2 (Required)** – Complete billing address.
- **Address Line 3 (Optional)** – Additional address details.
- **Postal Code (Optional)** – Postal or ZIP code.
- **Country (Required)** – Select country from dropdown.

**Action:** Click **Continue** to proceed.

#### **Step 3 – Shipping Address**

This step records the customer’s shipping address:

- **Use Billing Address** – Checkbox to auto-fill fields with billing details.
- **Contact Person (Required)** – Name of the receiving contact.
- **Company (Required)** – Company name for shipment.
- **Mobile Number (Required)** – Contact number for deliveries.
- **Address Line 1 &amp; 2 (Required)** – Complete shipping address.
- **Address Line 3 (Optional)** – Additional delivery instructions.
- **Postal Code (Optional)** – Postal or ZIP code.
- **Country (Required)** – Select from dropdown.

**Action:** Click **Continue** to proceed.

#### **Step 4 – Additional Information**

This step gathers compliance and supporting documentation:

- **VAT/GST Number** – Customer tax registration number.
- **Remarks** – Any relevant notes about the customer.
- **Tax Certificate** – Upload or attach a file.
- **Business Registration Certificate** – Upload or attach a file.
- **ID Proof (Passport or Driving License)** – Upload or attach a file.
    
    **Action:** Click **Continue** to proceed.

**After the customer is created, the record remains pending approval and is forwarded to Customer Compliance for review and final approval.**

# 1.2 Customer Compliance

The **Customer Compliance** section ensures that all customers meet the necessary legal, regulatory, and internal business requirements before engaging in transactions. It provides an interface to review, approve, or reject customer documentation, assign sales representatives, and manage compliance statuses.

This screen displays all customers whose compliance status needs to be checked or managed.

### **View **Compliance Details****

When viewing a specific customer’s compliance details, the screen is divided into two main sections:

#### **Customer Information Panel**

- **Status** – Displays the customer’s current compliance status.
- **Contact Person** – Name of the customer’s representative.
- **Phone Number** – Customer’s contact number.
- **Email Address** – Primary communication address.
- **Channel Name** – Sales or operational channel.
- **GST/VAT** – Indicates if tax-related information is available.

#### **Documents Section**

Lists all required compliance documents such as:

- **Tax Certificate** – Proof of tax registration.
- **Registration Certificate** – Proof of business registration.

**Actions per Document:**

- **View** – Open and inspect the uploaded document.
- **Reject** – Mark the document as non-compliant (with reason in the backend).
- **Approve** – Mark the document as compliant.

#### **Billing Details Section**

Shows the customer’s billing address and contact details.

- **Select All Checkbox** – Select multiple entries for bulk approval/rejection.
- **Approve / Reject Buttons** – Approve or reject the billing information.

- Displays the complete list of customers in the system.
- Allows filtering, searching, and sorting customers.

# 1.4 My Customers

The **My Customers** section displays a list of customers assigned specifically to the logged-in user. This feature helps sales representatives and account managers focus on their own portfolio of customers without browsing through the entire database.

# Sales Order

# How to create a normal Order?

Order creation is the first step in processing a customer purchase. This process captures essential customer information, verifies compliance, and ensures accurate billing and shipping.

### **Steps in Order Creation**

1. **Enter Customer Details**
    
    
    - Select Sales Representative ,customer , Forwarder, bank account, currency, delivery terms and enter special instruction.

1. **Product Selection &amp; Add to Cart**
    
    
    - Browse or search products.
    - Select quantity, variants (size, color, etc.), Unit price and add items to the shopping cart.
    - System validates stock availability.
2. **Cart Confirmation**
    
    
    - Review cart items including product details, price, quantity, and subtotal.
    - Option to update quantities or remove products.
    - Add Freight Charges and Handling Charges.
3. **Review Order**
    
    
    - Confirm shipping address and billing address.
    - Review final pricing, taxes, and delivery charges.
    - Proceed to place order.

**After review, the order is created and inventory confirmation is completed.**

# How to create a POS Order?

## **Order Creation – POS**

Order creation in the POS module allows users to quickly generate customer orders.

### **Steps to Create an Order**

1. **Click on “Create Order” under POS orders**
    
    
    - Initiates the new order creation process.
2. **Enter Required Information**
    
    
    - Customer details.
    - currency
    - Bank Account
    - Delivery terms
    - Special instruction
3. **Click on Submit**
    
    
    - Once all mandatory fields are filled, submit the order form.

#### A draft order will be created

**After creating the order, scan the product IMEIs and confirm the packing in the OPS.**

##### **Post Scanning**

Click on the Edit button, and you will see the quantity displayed next to the cart icon.

1. **Cart**
    
    
    - Review cart items including product details, price, quantity, and subtotal.
    - Option to update quantities or remove products.
    - Add Freight Charges and Handling Charges.
2. **Review Order**
    
    
    - Confirm shipping address and billing address.
    - Review final pricing, taxes, and delivery charges.
    - Proceed to place order.

## **Steps in Inventory Confirmation**

4. **Actions Based on Availability**
    
    
    - **Accept** → If the product is available, the order will be moved to **Quote Confirmation**.

    - **Reject** → Order is cancelled.

**After payment confirmation, the order is ready for scanning in case of a normal order, and for shipping in case of a POS order.**

# Shipping

Shipping is the final step in the order fulfillment process, executed only after all payments have been confirmed.

## **Steps in Shipping**

1. **Open Shipping Confirmation**
    
    
    - Go to the **Shipping** section.
    - Click on **Shipping Confirmation**.
2. **Review Order Details**
    
    
    - Click **Review**.
    - Verify the order details displayed on the page.
3. **Enter Shipping Information**
    
    
    - Fill in the required details:
        
        
        - **Netsuite PI**
        - **Shipping Carrier**
        - **Mode of Transportation**
        - **AWB (Air Waybill) Number**
4. **Save Shipping Details**
    
    
    - Click the **Save** button.
    - A box will appear to enter **Special Instructions** (if any).
    - After entering the instructions, click **Save** again.
5. **Order Shipped**
    
    
    - The system updates the status, and the order is now marked as Shipped.

# Booking Orders

### **What are Booking Orders?**

Booking Orders are created when the **required quantity in a sales order exceeds the currently available stock**. Instead of rejecting the order, the system transfers it to the **Booking Orders list** to be processed later once stock becomes available.

- Under **Booking Orders**, you can select either **Distribution Order** or **Used Order**.
- Once selected, the related booking orders will be displayed.
- You can locate a specific order by: 
    - - **Searching** with the **Order Number**
        - **Filtering** by **Warehouse**
- **Click on Review.**
    - - If the product is **not available**, the order moves into **Booking Allocation**.
        - In **Booking Allocation**, you can manually enter how many units should be allocated to the booking.
        - Once stock is replenished and allocated, the order can be moved to the next process.

### **Actions When Required Quantity is Available**

You will see **4 options**:

- **Reject** – Declines the order.
- **Update** – Makes changes to the order details.
- **Pass** – Confirms the order but requires  **inventory confirmation**.
- **Accept** – Confirms the order and performs **automatic inventory confirmation**.

# How to cancel an order?

The **Order Cancellation** process allows users to cancel an order that is no longer required.

**Steps:**

1. **Select the Order** – Locate and open the order that needs to be cancelled.
2. **Click on the Cancel Order button** – A confirmation box will appear.
3. **Choose the Cancellation Reason** – Select the appropriate reason from the dropdown or list.
4. **Confirm Cancellation** – Click **Yes** to proceed.

Once confirmed, the order status will be updated to **Cancelled** in the system, and no further actions can be taken on the order.

The **IMEI Download** feature allows users to export the IMEI details of a selected order in Excel format.

**Steps:**

1. **Select the Order** – Locate and open the order from the list.
2. **Click on IMEI Download** – Found on the right side of the selected order.
3. **Confirm Download** – Click on **IMEI Download** again.
4. **Excel File Generated** – The IMEI details will be downloaded automatically in **Excel (.xlsx)** format.

The **Change Forwarder** option allows users to update the logistics partner (forwarder) assigned to an order.

**Steps:**

1. **Select the Order** – Locate and open the order from the list.
2. **Click on Change Forwarder** – Opens the forwarder selection option.
3. **Select the Forwarder** – Choose the desired forwarder from the available list.
4. **Click on Submit** – The forwarder for the order will be updated in the system.

**Note:** Forwarder change may be restricted once the order is shipped.

The **Update NS** option allows users to update or add the NS (NetSuite) ID for an order in the system.

**Steps:**

1. **Select the Order** – Locate and open the order from the list.
2. **Click on Update NS** – Opens the NS update option.
3. **Enter the NS ID** – Input the correct NetSuite ID.
4. **Click on Submit** – The NS ID will be saved and linked to the order.

**Note:** Ensure the entered NS ID is valid, as it will be used for synchronization and reporting.

# How to duplicate an Order?

The **Duplicate Order** option allows users to create a new order by copying details from an existing one. This helps save time and ensures accuracy when placing similar or repeated orders.

**Steps:**

1. **Select the Order** – Locate and open the order you want to duplicate.
2. **Click on Duplicate Order** – A new order form will be generated with the same details as the selected order.
3. **Click on Submit** – The system will create a **Draft Order** with the same details.

**Note:** The duplicated order will be saved as a draft and assigned a new order reference number

1. **Select the Order** – Locate and open the order from the list.

3. **Choose Format** – Select either:
    
    
    - **With Price** – PI will display item prices and totals.
    - **Price Masked** – PI will hide all item prices and totals.
4. **Click on Download** – The PI will be generated and saved in **PDF format**.

**Note:** PI can only be downloaded once the order details are completed and saved.

- The shipping address can only be changed **if a forwarder has not been added**.

# Intercompany Inventory confirmation

The **Inventory Confirmation** step ensures that the requested stock is available before proceeding with the transfer. This step is **mandatory for Normal Intercompany Orders** but is **automatically handled for POS Orders**.

### **Steps for Normal Intercompany Order**

1. Go to **Intercompany Module**.
2. Click on **STR / IC Order**.
3. Open **Inventory Confirmation → Pending Orders**.
4. Select the order.
5. Click **Review**.
6. If the quantity is available, click **Accept**; else, click **Reject**.
7. After confirmation, proceed to **IMEI Scanning**.

  
  
*Note: Inventory Confirmation is only required for **Normal Orders**. For **POS Orders**, this step is automated.*

# Contextual Help

**COUNTRY OF ORGIN (COO) Country of Origin (COO)** refers to the country where a product is manufactured, produced, or assembled. It indicates where the goods originally come from.

**How to Update COO for an Order**

1. Go to **STR** or **IC All Orders**.
2. Select the required order.
3. Click on the **Action** button (with the location icon).
4. To update the **COO (Country of Origin)**:
    
    
    - Use **Bulk Select** and choose the same country for all products, **if the COO is identical**.
    - Otherwise, **select the country individually** for each product.
5. Click **Submit** to save the changes.

 The COO will be successfully updated.

### Cancel Order

- Click on the **Cancel** button (as shown in the image).
- Select the **reason for cancellation** from the list.
- If the reason is not listed, choose **Other** and enter the reason manually.

# RMA CREATION

RMA (Return Merchandise Authorization) creation is the process of recording and authorizing the return of products from customers. It ensures proper tracking, compliance, and accountability for returned goods, whether due to defects, incorrect shipments, or other valid reasons.

### Steps in RMA Creation

1. **Enter RMA**
    
    
    - Select the Customer.
    - Choose the Return Location (Warehouse).
    - Enter the remarks
    - Click on "**Create RMA**"

The RMA Customer Scan process ensures that returned products are validated by capturing IMEI details and recording the reason for return directly from the customer. This step guarantees product traceability, prevents errors, and supports smooth processing of the RMA.

### Steps in RMA Customer Scan

1. **Click on the link shared.**
2. **Upload File (Optional)**
    
    
    - Open the Excel file, enter the required details, and upload it back to the file upload region.

# RMA Admin Confirmation

After the **Inbound** and **QC Scanning**, the RMA moves to the **Admin Confirmation** stage. This step ensures that the return request is properly validated and finalized before further action.

### Steps for Admin Confirmation

1. **Access Pending RMA**
    
    
    - Navigate to **RMA Admin → Pending RMA V2**.
2. **Select RMA Order**
    
    
    - Choose the RMA order that requires confirmation.
    - Click on **Review**.
3. **Validate Details**
    
    
    - Check and confirm the details displayed for accuracy.
4. **Select Product**
    
    
    - Choose the product associated with the RMA.
5. **Accept or Reject**
    
    
    - Select whether to **Accept** or **Reject** the RMA.
6. **Choose Return Action**
    
    
    - If accepted, select one of the following:
        
        
        - **Return with Credit Note**
        - **Replacement with Credit Note**
7. **Apply &amp; Complete**
    
    
    - Click on **Apply** and then **Complete** to finalize the action.
8. **Confirmation**
    
    
    - A confirmation box will appear.
    - Click on the relevant option to confirm and finish the process.

# RMA Final Review

After **Admin Confirmation**, the RMA undergoes a **Final Review** stage. This ensures all details are correctly validated before the RMA proceeds to onboard scanning.

### Steps for Final Review

1. **Open Reviewer Section**
    
    
    - Click on the **Review** tab.
    - Select the RMA order requiring final review.
2. **Review Order**
    
    
    - Click on **Review** to open the RMA details.
    - Validate all the provided details (product, IMEI, return reason, and action taken).
3. **Take Action**
    
    
    - **Review** – Sends the RMA back to **Admin Confirmation** for re-validation.
    - **Complete** – Marks the RMA as approved and moves it forward to the **Onboard Scanning** stage in OPS.

# How to create a PO and upload product using ASN for used products?

An **ASN** is the process of inserting newly purchased products into the system. It ensures proper product intake and seamless processing within the supply chain.

## Steps to Create a Used Purchase Order via ASN

1. **Navigate to Purchase Order Module**
    
    
    - Go to **Purchase Order** → **Admin** → **Create PO using ASN**.
2. **Upload Section**
    
    
    - At the bottom of the page, click on the **Upload** button.
    - The system will navigate you to the upload page.
3. **Download &amp; Prepare Template**
    
    
    - Click **Download Template**.
    - Enter the product details in the template file.
    - Save the completed file.
4. **Enter Required Details**
    
    
    - Select **Warehouse Details**.
    - Choose **Currency**.
    - Set **Payment Terms**.
    - Select **Supplier**.
    - Enter the **NetSuite Number**.
5. **Upload File**

        After creating a Purchase Order (PO), there are two options:
        
        
        - **Manual Processing** – Perform IMEI scanning and approvals step by step.
        - **Auto Receive** – Use the operator section to auto-receive the order.

        - Navigate to **OPS → Purchase Order Module → PO Receive**.
        - Scan all product IMEIs against the created Purchase Order.
        - Ensure all IMEIs match and are correctly recorded in the system.

        ## 2. Finance Approval
        
        
        - Once IMEIs are scanned and received, the PO is sent to the **Finance Module**.
        - Finance team reviews the order for:
            
            
            - Accuracy of details
            - Compliance with financial requirements
        - Upon successful approval, the PO is confirmed and marked **ready for further processing**.

# Purchase order Auto Accept

The **Auto Accept** feature in Purchase Orders allows the system to automatically validate and receive products without manual scanning. This helps speed up the receiving process.

**Steps:**

1. **Click on Purchase Order** – Go to the **General → Operator → Pending Shipping** section.
2. **Select the Order** – Locate and open the pending order.
3. **Click on Auto Accept** – The system will automatically validate the products.
4. **System Action** – The products are received into the system automatically.
5. **Completion Indicator** – Once the process is complete, the entire box will change to **green**.

**Note:** Auto Accept should be used only when product details are already verified, as no manual IMEI scanning takes place.

# Product Management

**Product Management** is used to manage product details, visibility, pricing, and availability across warehouses.

## Navigation

1. Go to **Product Management → Product Management**.
2. Use filters to search for the required product.
3. Select the **Warehouse** to check product availability.

## Steps to Edit a Product

1. **Locate the Product**
    
    
    - Filter/search for the required product.
    - Select the warehouse to check availability.
    - Click **Edit** next to the product.
2. **View Product Details**
    
    
    - Review all existing product information.
3. **Make Updates as Needed**
    
    
    - **Edit Product Description** – Update or correct product details.
    - **Add Prices** – Enter prices across all applicable modules:
        
        
        - OMS
        - Purchase
        - Rehandle Pro
        - Live Auction
        - Closed Auction
    - **Manage Product Visibility** – Use the toggle button to control visibility.
        
        
        - If the toggle is **off**, the product will not appear in OMS.
    - **Upload Product Images** – Add or replace images for better visibility.
4. **Save Changes**
    
    
    - Click **Update** to apply and save all edited details.

In the Product Management module, there are two options: IMEI History and IMEI Detailed History. By entering an IMEI, the system displays complete information including the IMEI details, its current status, and the orders where the IMEI has been used.

# DXB DISTRIBUTION STOCKS

This module is used to check the availability of **Apple distribution products** across the Dubai subsidiary.

### Filter Options

- You can filter the data by **product**.

### Availability View

The system displays the available quantity in the **DAFZA** and **DCC** warehouses. Next to each quantity, an **“i” (info) button** provides a detailed stock breakdown:

- **Physical**: Quantity physically available in the warehouse.
- **Allocated**: Quantity scanned or reserved in orders, but not yet packed.
- **Committed**: Quantity scanned and packed in an order.
- **Booking**: Quantity reserved for an order where stock is insufficient, so it is kept on hold.

### Export Option

You can export the availability data to Excel by clicking the **“Export”** button.

# USED LIVE INVENTORY

This module is used to check the availability of **Used Live Inventory** across warehouses.

### Filter Options

You can filter the data by:

- Warehouse
- Model
- Storage
- Grade
- Color

### Availability View

Next to each product, the system displays detailed stock information, including:

- **Live Physical Inventory**: Quantity physically available in the warehouse.
- **In Transit**: Stock shipped from another warehouse but not yet received in the current warehouse.
- **Balance Quantity**: *(Live Physical Inventory + In Transit) – (Allocated + Committed)*
    
    > This represents the quantity that **is or will be available** in the warehouse.
- **Ready Stock**: *(Live Physical Inventory – (Allocated + Committed + Booked))*
    
    > This represents the quantity that is **immediately available for scanning**.
- **Allocated**: Quantity scanned or reserved in orders, but not yet packed.
- **Committed**: Quantity scanned and packed in an order.
- **Booking**: Quantity reserved for an order where stock is insufficient, so it is kept on hold.

### Order-Level Details

By clicking on a **product**, you can view the **orders** in which that product is Allocated, Committed, or Booked.
